Victory Travel Pte Ltd ("Victory Travel", "we", "us", "our") is committed to protecting the privacy and personal data of our clients, website visitors and business partners across all our services โ visa applications, corporate and group travel, cross-border transfers, wellness retreat bookings, our B2B agency platform, and our corporate & immigration referral service. This Privacy Policy sets out how we collect, use, disclose and protect personal data in accordance with the Personal Data Protection Act 2012 (PDPA) of Singapore.

2. Personal Data We Collect
- Identity Data: Full name, date of birth, nationality, gender, NRIC/FIN/passport number
- Contact Data: Email address, phone number, residential or business address
- Travel Data: Travel itineraries, flight preferences, hotel preferences, frequent flyer numbers, visa information
- Financial Data: Bank account details, credit/debit card details (processed securely), billing address
- Employment Data: Employer name, employment pass type, certification of employment
- Wellness & Retreat Data: Retreat programme preferences, travel party composition (individual, couple or group), dietary preferences relevant to your booking, and enquiry details submitted through our wellness matching tool
- Corporate & Immigration Referral Data: Company name and intended business activity, proposed shareholding and directorship structure, and identity/KYC documentation submitted for referral to our licensed Corporate Service Provider (CSP) affiliate
- Agency & B2B Platform Data: Agency name, IATA/TA licence number, contact person details, booking history and Agency Wallet transaction records for registered B2B agency partners
- Technical Data: IP address, browser type, operating system, pages visited
- Communications Data: Records of correspondence via email, WhatsApp, phone or in person

- Communicating with you regarding bookings, enquiries or complaints
- Processing payments and issuing invoices and receipts
- Compliance with IATA, STB and MAS requirements
- Marketing communications โ only with your prior consent and subject to your right to opt out
- Fraud prevention, security and audit purposes
5. Legal Basis for Processing
- Contractual necessity: To perform travel services you have engaged us for
- Legal obligation: IATA, STB, MAS anti-money laundering rules and applicable Singapore laws
- Legitimate interests: Fraud prevention, IT security, business analytics
- Consent: For marketing communications and optional data collection
6. Disclosure of Personal Data
We may disclose your personal data to the following third parties:
- Airlines and carriers โ for flight bookings and ticketing
- Hotels and accommodation providers โ for hotel reservations
- Embassies and consulates โ for visa applications
- Visa processing centres โ VFS Global, AVAC and authorised centres
- GDS and technology platforms โ Amadeus, Sabre, Travelport or TP Connects
- Wellness retreat operators โ the resort or retreat property directly, to arrange and confirm your booking
- Our licensed Corporate Service Provider (CSP) affiliate โ for corporate registration, Employment Pass and immigration referral enquiries. By submitting such an enquiry, you separately and specifically consent to this disclosure for KYC (Know Your Customer) and AML (Anti-Money Laundering) compliance purposes. Victory Travel acts strictly as a referral introducer for these matters; the CSP affiliate is independently responsible for its own handling of your data as a separate data controller
- Government authorities โ STB, ICA, IRAS, PDPC where required by law
- Professional advisors โ lawyers, auditors under strict confidentiality obligations
7. Cross-Border Data Transfers
Your personal data may be transferred outside Singapore to fulfil travel bookings. We ensure recipients provide a comparable standard of data protection in accordance with PDPA Section 26.
8. Data Retention
- Booking and ticketing records: 7 years (IRAS tax requirements)
- Visa application documents: 3 years after the visa application is processed
- Financial and payment records: 7 years (Singapore Companies Act)
- Marketing consent records: Until consent is withdrawn
- Website visitor data: 12 months
9. Your Rights Under the PDPA
- Right of Access (Section 21): Request access to your personal data held by us
- Right of Correction (Section 22): Request correction of inaccurate or incomplete data
- Right to Withdraw Consent: Withdraw consent for marketing at any time
- Right to Lodge a Complaint: Contact PDPC at www.pdpc.gov.sg

10. Data Security
- SSL/TLS encryption for all data transmitted via our website and online enquiry forms
- Access to personal data is restricted to staff who need it to perform their specific role โ no blanket internal access
- Regular staff training on data protection and confidentiality obligations, including specific handling procedures for identity documents
- Physical documents are kept in locked, access-controlled storage at our office and are never left unattended or visible to other visitors
- Digital copies are stored on access-controlled systems, not shared drives open to the whole company, and are not stored on personal staff devices
11. Passport & Identity Document Handling
We recognise that passport, NRIC, work pass and other identity document copies are among the most sensitive information our clients share with us, and we handle them with a higher standard of care than general enquiry data.
- Collection: Where possible, we ask clients to submit identity documents via encrypted channels (secure upload link or password-protected file) rather than unprotected email attachments, particularly for corporate and bulk submissions
- Storage: Digital copies are stored on access-controlled systems separate from general correspondence; physical copies and printouts are kept in locked filing cabinets at our office, accessible only to the staff member(s) actively processing that application
- Access: Only the consultant handling your specific booking or application, and their direct supervisor where needed for quality control, may access your identity documents โ not the wider team
- Use: Identity documents are used strictly for the purpose disclosed to you at the time of collection (e.g. visa application, ticket issuance, Employment Pass processing) and are not repurposed for any other use without your separate consent
- No AI or Third-Party Training Use: We do not use client identity documents, or any personal data, to train artificial intelligence or machine learning models, and do not share such documents with any party not disclosed in Section 6 above
- Retention & Disposal: Identity documents are retained only for the period stated in Section 8 (Data Retention) above, after which digital copies are securely and permanently deleted and physical copies are cross-shredded. We do not keep passport or identity copies indefinitely "on file" once the purpose they were collected for has been completed and any regulatory retention period has passed
12. Corporate Client Document Assurance
We understand that corporate clients submitting documents on behalf of multiple employees โ for example, passport copies for a workforce visa run or an Employment Pass relocation batch โ carry an additional layer of responsibility to their own staff. The following applies specifically to corporate submissions:
- Bulk employee documents are logged and tracked against your company's booking or application reference, so each employee's documents are accounted for individually and not mixed with other clients' files
- The same access, storage and retention standards set out in Sections 10 and 11 apply in full to every document in a corporate batch, regardless of volume
- Where a corporate client's own internal policy or a Corporate Travel Agreement requires additional safeguards (such as a signed confidentiality undertaking or a formal Data Processing Agreement), we are able to accommodate this on request โ please raise this with your account contact before submitting employee documents
- Corporate clients may request written confirmation of secure deletion of their employees' identity documents once an engagement concludes, by writing to our Data Protection Officer (Section 16 below)
- Where corporate or immigration matters are referred to our CSP Affiliate under Part E of our Terms & Conditions, that Affiliate is independently responsible, as a separate data controller, for the security of any documents it holds directly โ we encourage corporate clients to also review the CSP Affiliate's own data handling practices for that portion of the engagement
13. Cookies & Website Tracking
Our website may use cookies to improve user experience and analyse traffic. You may disable cookies through your browser settings. We do not use cookies to collect personally identifiable information without consent.
14. Do Not Call (DNC) Registry
Victory Travel Pte Ltd complies with the Do Not Call provisions under the PDPA. We will not send unsolicited marketing messages to Singapore telephone numbers on the DNC Registry without your prior consent.
15. Changes to This Policy
We reserve the right to update this Privacy Policy at any time. Changes will be posted on our website. Continued use of our services after such changes constitutes acceptance of the revised Policy.

Terms & Conditions
These Terms and Conditions ("Terms") govern the relationship between Victory Travel Pte Ltd ("Victory Travel", "we", "us") and any client, wellness enquirer, corporate referral enquirer, or B2B agency partner ("you", "Client", "Agency") who engages our travel, visa, wellness, corporate referral, or technology services. By making a booking, submitting an enquiry, topping up an Agency Wallet, or engaging our services in any form, you agree to be bound by these Terms in full.
1. Definitions
- "Services" means all travel management, ticketing, visa processing, hotel booking, ground transport, MICE, wellness retreat booking, corporate & immigration referral, SaaS platform, API integration, B2B portal and related services.
- "Booking" means any reservation made by Victory Travel on your behalf.
- "Supplier" means any third-party provider including airlines, hotels, wellness retreat operators, transport companies, embassies and visa centres.
- "Agency" means any travel agency or sub-agent registered for access to Victory Travel's B2B ticketing platform.
- "Agency Wallet" means the pre-funded credit balance maintained by an Agency on Victory Travel's B2B platform, used to settle bookings, fees and other charges.
- "ADM" means an Agency Debit Memo, fare adjustment, GDS penalty, airline compliance charge, or any similar debit note raised by an airline, GDS, BSP or other Supplier against Victory Travel's account.
- "CSP Affiliate" means the licensed Corporate Service Provider engaged by Victory Travel to independently deliver ACRA registration, Employment Pass and corporate secretarial services referred to it under Part E of these Terms.
- "Force Majeure Event" means any event beyond reasonable control including natural disasters, pandemics, war, terrorism, government actions or airline insolvency.
2. Agency Relationship
Victory Travel acts as an agent on your behalf in arranging travel services provided by third-party Suppliers. We are not the principal provider of flights, hotels, transport or visa decisions.
3. Bookings & Confirmation
- A booking is confirmed only upon receipt of full payment (or agreed deposit) and written confirmation by Victory Travel
- You are responsible for ensuring all passenger details match travel documents exactly
- Prices quoted are valid at time of quotation only and subject to change until payment is received
- All prices are in Singapore Dollars (SGD) unless otherwise stated
4. Payment Terms
- Full payment is required at time of booking unless a deposit arrangement is agreed in writing
- Accepted methods: cash, bank transfer, credit card and PayNow
- All bank charges, currency conversion and transaction fees are the Client's responsibility
- Victory Travel reserves the right to cancel unconfirmed bookings if payment is not received by the agreed deadline
5. Cancellations & Amendments by Client
- All cancellation and amendment requests must be submitted in writing to victorytravel@singnet.com.sg
- Cancellation fees are determined by Supplier fare rules and may be up to 100% of the booking value
- Victory Travel's service fee is non-refundable in all cancellation and amendment scenarios
- Refunds from Suppliers (where applicable) may take 4โ12 weeks to process

7. Client Responsibilities
- Ensuring all travel documents (passports, visas) are valid for the entire trip
- Passports must be valid for at least 6 months beyond the return date for most destinations
- Checking all booking confirmations immediately upon receipt and reporting discrepancies within 24 hours
- Arriving at airports and departure points at required times
- Complying with all health, customs, immigration and entry requirements of countries visited
8. Confidentiality & Document Handling
This section applies to all identity and travel documents you or your organisation provide to us, including passport copies, NRIC/FIN details, work pass information and any other identity documents submitted for a booking, visa, or corporate application (collectively, "Identity Documents").
- We treat all Identity Documents as confidential and will use them strictly for the purpose you provided them for, as described in our Privacy Policy
- Identity Documents are stored under access-controlled conditions โ digitally on access-restricted systems, and physically in locked storage โ accessible only to the staff member(s) handling your specific booking or application
- Identity Documents are retained only for the period required to complete your booking or application and to satisfy our regulatory obligations (see our Privacy Policy for specific retention periods), and are securely deleted or destroyed thereafter
- For corporate clients submitting Identity Documents on behalf of employees: each employee's documents are logged individually against your company's booking reference and are not commingled with other clients' records. Where your organisation requires a signed confidentiality undertaking or a formal Data Processing Agreement before submitting employee documents, please raise this with us in advance and we will accommodate this as a condition of the engagement
- We do not use client Identity Documents to train any artificial intelligence or machine learning system, and do not disclose them to any party other than the Suppliers, authorities, or affiliates necessary to complete your booking or application, as set out in our Privacy Policy
- Nothing in this clause limits your rights, or reduces our obligations, under the Personal Data Protection Act 2012 โ this clause operates in addition to, and is to be read together with, our Privacy Policy
9. Limitation of Liability
- Victory Travel's total liability shall not exceed the total service fees paid for the specific booking giving rise to the claim
- Not liable for indirect, consequential, special or incidental damages including loss of profit or enjoyment
- Not liable for losses arising from Force Majeure Events including pandemics, disasters or airline insolvency
- Not liable for the quality, safety or performance of any Supplier's services
- Not liable for visa rejections โ application fees and service fees are non-refundable regardless of outcome
- Not liable for losses arising from the Client's failure to hold valid travel documents
10. Visa Application Services
- Victory Travel does not guarantee the approval of any visa โ decisions are made solely by the relevant embassy or immigration authority
- All fees paid to Victory Travel for visa application services โ including our service fee, consular/embassy fees, and any VFS, AVAC or visa centre fees collected on your behalf โ are strictly non-refundable once payment has been made and/or the application has been submitted. This applies regardless of the outcome of the application, including rejection, delay, cancellation by the Client, or withdrawal of the application at any stage.
- The Client is responsible for providing all required documents accurately and in a timely manner
- Processing times stated are estimates โ Victory Travel accepts no liability for delays in processing
- The Client must attend biometric appointments as scheduled โ missed appointments may incur additional fees
- We recommend applying at least 6โ8 weeks before travel for complex visas (Schengen, USA, Australia)
11. Corporate Travel Management
- Corporate clients must execute a separate Corporate Travel Agreement
- Corporate accounts are subject to a credit limit as agreed in writing
- Victory Travel reserves the right to suspend services if invoices are not settled within agreed terms
12. Group Ticketing (10+ Passengers)
- Group fares, seat blocks and deposit terms are confirmed in writing before any seats are held
- Deposits paid to secure group seat blocks are non-refundable if the group is subsequently cancelled or reduced below the airline's minimum group size
- Final passenger names must be confirmed by the airline's naming deadline โ late changes may incur Supplier name-change fees, which are passed on to the Client in full
13. Singapore to Malaysia Ground Transfers
- Vehicles and drivers are provided by third-party ground transport operators; Victory Travel acts as booking intermediary only
- Rates are confirmed per route, vehicle type and date before booking and are not guaranteed until confirmed in writing
- Client is responsible for providing accurate pickup details, passenger count and luggage requirements; incorrect information may result in additional on-the-day charges
14. Wellness Retreat Bookings
- Victory Travel acts as booking agent for independently owned and operated wellness retreats and resorts ("Retreat Operators"); we are not the principal provider of accommodation, spa, medical or wellness programme services
- All rates, inclusions and programme details shown on our website or in downloadable brochures are indicative only and are not a binding offer โ Victory Travel confirms one final, all-inclusive price in writing before any payment is taken
- Deposit and cancellation terms are set independently by each Retreat Operator and will be disclosed at the time of quotation; these may differ significantly between properties
- Victory Travel's own service fee, where charged separately from the Retreat Operator's rate, is non-refundable once a booking has been confirmed
- Wellness and health programme content (including any screening, therapy or medical consultation referenced in a brochure) is delivered solely by the Retreat Operator or its affiliated clinic; Victory Travel makes no representation as to medical suitability and recommends Clients consult their own physician before booking any programme with a health or fitness component
- Results, outcomes or benefits described for any wellness programme are as represented by the Retreat Operator and are not guaranteed by Victory Travel
15. Referral Introducer Only
- Service fees for corporate and immigration services are determined independently by the CSP Affiliate; Victory Travel has no role in, and accepts no liability for, the pricing, scope, quality, timeliness or outcome of the CSP Affiliate's work
- By submitting an enquiry for corporate or immigration services, you consent to Victory Travel sharing your details with the CSP Affiliate for KYC (Know Your Customer) and AML (Anti-Money Laundering) compliance checks, which are mandatory for corporate services in Singapore
- Victory Travel accepts no liability for company registration outcomes, Employment Pass approval decisions (which rest solely with the Ministry of Manpower), or any act, omission or default of the CSP Affiliate
- Any dispute regarding the corporate or immigration services themselves must be raised directly with the CSP Affiliate in accordance with its own terms of engagement
16. B2B Portal & Technology Services
- Access to Victory Travel's B2B portal, SaaS platform or API services is subject to a separate B2B Service Agreement and these Terms
- Victory Travel reserves the right to suspend or terminate B2B access immediately for breach of these Terms, non-payment, or suspected fraudulent activity
- B2B partners may not resell or sublicense Victory Travel's technology without prior written consent
17. Agency Debit Memos (ADMs) & Airline Charges
- Any ADM, fare adjustment, GDS penalty, airline compliance charge, or similar debit note raised by an airline, GDS or BSP against Victory Travel's account arising from an Agency's booking, ticketing, voiding, refunding, name change, or fare misuse shall be the sole liability of the Agency responsible for that transaction.
- The Agency must settle any such ADM in full within the timeframe stated in Victory Travel's notice to the Agency, which will not exceed the timeframe permitted by the relevant airline or BSP for Victory Travel's own settlement
- Victory Travel may deduct the ADM amount directly from the Agency's Wallet balance without prior notice where the Agency has an available balance
- Victory Travel reserves the right to pursue legal action, including recovery of the outstanding amount, legal costs and interest, against any Agency that fails to settle an ADM, invoice, or any other amount due under these Terms.
18. Agency Wallet Terms
- Any amount credited or topped up into an Agency's Wallet is strictly non-refundable.
- Wallet balances do not expire and may be used by the Agency at any time to settle bookings, fees, ADMs or other charges through the B2B Platform
- Wallet balances are refundable only in the event that Victory Travel Pte Ltd permanently ceases business operations, in which case any remaining balance will be refunded to the Agency subject to verification of the balance and deduction of any amounts owed to Victory Travel
- Victory Travel is not liable for Wallet balances forfeited due to Agency account suspension or termination arising from the Agency's breach of these Terms
19. Governing Law for B2B & Agency Matters
20. Intellectual Property
All content on our website including text, logos, graphics and software is the property of Victory Travel Pte Ltd and protected under Singapore copyright law. You may not reproduce or republish any content without prior written consent.
21. Indemnity
You agree to indemnify and hold harmless Victory Travel Pte Ltd, its directors, officers and employees from any claims, losses, costs and expenses arising from your breach of these Terms, provision of inaccurate information, or violation of any applicable law.
22. Force Majeure
Victory Travel shall not be liable for any failure resulting from a Force Majeure Event. We will use reasonable efforts to minimise impact on affected Clients and facilitate alternative arrangements where possible.
23. Complaints & Dispute Resolution
- All complaints must be submitted in writing within 14 days of the issue arising
- We acknowledge complaints within 3 business days and aim to resolve within 21 business days
- Unresolved disputes may be referred to STB, Singapore Mediation Centre (SMC) or CASE
24. Anti-Money Laundering & Compliance
Victory Travel complies with the Corruption, Drug Trafficking and Other Serious Crimes (Confiscation of Benefits) Act (CDSA) and all applicable AML/CTF regulations in Singapore.
25. Governing Law & Jurisdiction
26. Severability
If any provision of these Terms is found invalid or unenforceable, the remaining provisions shall continue in full force and effect.
27. Entire Agreement
These Terms, together with any booking confirmation or corporate travel agreement, constitute the entire agreement between Victory Travel and the Client.
28. Amendments to Terms
Victory Travel reserves the right to amend these Terms at any time. Updated Terms will be posted on our website. Continued use of our services after posting constitutes acceptance.
